Information we use
Depending on why you contact us, we may use:
- identity and contact details, such as a name, email address, phone number and postal address;
- professional details, such as a role, organisation and relationship to the person being referred;
- the enquiry type, service being considered and message submitted through a website form;
- limited initial referral information, which may include a person’s initials or first name where a professional chooses to provide it;
- recruitment information supplied through the careers journey, such as work history, qualifications, application information and correspondence;

Purposes and lawful bases
We use personal information only where there is a lawful reason to do so. Depending on the context, this may include:
- receiving website enquiries, responding to them and taking steps requested before entering into a contract;
- assessing and progressing care or referral conversations, providing services and managing our relationship with people we support;
- considering applications and managing recruitment;
- meeting legal, regulatory, safeguarding, employment and record-keeping obligations; and
- our legitimate interests in running, securing and improving our services, provided those interests do not override the rights and interests of the people concerned.
Where consent is the appropriate lawful basis, it can be withdrawn. Withdrawal does not affect processing that was lawful before consent was withdrawn.
Health and other sensitive information
Care and referral work may involve health information or other special-category personal data. We use this only when it is relevant and when both a lawful basis and an applicable condition under data-protection law are available. The condition will depend on the circumstances and may relate to health or social care, employment, safeguarding, legal claims, substantial public interest or explicit consent.
Please begin with the minimum information needed. The initial referral form asks for limited professional contact details, the service being considered and a brief enquiry. We will explain how any further sensitive information should be shared if it is required.
Retention and security
We keep website enquiries and related correspondence only for as long as they are needed to respond, progress the relevant conversation and meet legal, regulatory, safeguarding, contractual or dispute-resolution requirements. The period varies according to the type of enquiry and the relationship concerned.
We use organisational and technical measures intended to protect personal information against unauthorised access, alteration, loss or disclosure. No method of transmission or storage can be guaranteed as completely secure, so please use the contact routes on this website to agree a suitable method before sharing sensitive documents.
Your rights and complaints
Depending on the circumstances, you may have rights to ask for access to your personal information, correction, deletion, restriction, objection, or transfer of information you provided. You may also have a right to withdraw consent and to complain about how your information has been handled. These rights are not absolute and an exemption may apply.
Contact us first using info@newbeginningscare.org so we can review and respond to your request or complaint.
If you remain dissatisfied, you can complain to the Information Commissioner’s Office (ICO), call its helpline on 0303 123 1113, or write to the Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, SK9 5AF.
